Company File Color Scheme

Just for fun you can personalize the color of your QuickBooks company file. Go to “Preferences” and choose the “Desktop View” on the right-hand side. Use the drop down in the “Company File Color Scheme” to choose your favorite color. If you manage several Quick Books files for different companies, choosing a unique color for each company file can be a nice visual que as to which company you are working in.

Automatically Recall Information

You can set QuickBooks to pull up the same information on the last transaction entered. This option is useful especially for recalling the account and/or prior amounts entered.

Go to top row choose “Edit” then “Preferences”. When the preferences window opens choose “General” on the right-hand side. Make sure you are seeing the “My Preferences” tab. You will see the options in the middle of the window.

There are two choices available.

  1.  The first option will pull the last used account information.
  2.  The second option will pull the account used and the amount of the last transaction. This option is helpful when the amount for the vendor is consistent.

Open Window in QuickBooks

If you want ‘toggling’ between any open windows or open reports, there are two quick ways to see what windows or reports you have open.

The first can be found on the top row under “View” then click “Open Window List”.  This view will stay available unless you click the option off. Click any report and window listed, and it will bring it forward.

The second method is on the top row.  Click “Window” and it will show you all the windows or reports you currently have open. If you want to close all the windows at once, click “Window” and choose the “Close All” option.

Making Sure Reimbursable Expenses Are Captured in Your Books

If you reimburse your employees for various business-related expenses, it is important to make sure those expenses are captured in your books.

Whether you distribute cash with your petty cash account or you are issuing them a check, keeping track of the receipts is important. There are several apps available on the market that can make the task easier but if you do not want to invest in software, having a procedure in place can save lots of time.  If you use Microsoft Excel, there is an expense report template available.

Have your employee fill out the template and attach the actual receipts or send all the documents to you digitally.

View Related Transactions in QuickBooks Desktop

Write Check Window: In the check writing window, there are two tabs available for quick access to many tools. It is located right above the icons for check writing.

This tip covers the second tab next the “Main” tab called “Reports”. If you want to view related transactions to the check, click the “Transaction History”.

If a bill was paid, you can easily access the original bill related to the check.
